By booking a Vegan Food Tour Utrecht, you agree to the following terms and conditions. A booking is final as soon as it has been paid. If a participant books for a group, it is his/her responsibility to share the terms and conditions with the other participants.

Definitions

In these general terms and conditions, the following terms are used in the following sense, unless explicitly indicated otherwise.

- Vegan Food Tour Utrecht: the organisation of the Vegan Food Tour Utrecht (referred to as Vegan Food Tour Utrecht’, ‘we’, ‘us’ or ‘our’)
- Guide: the person who conducts the tour on behalf of Vegan Food Tour Utrecht
- Participant(s): every natural person or legal entity participating in the Vegan Food Tour Utrecht

Booking, payment and cancellation

The participant can book a Vegan Food Tour Utrecht up to three months in advance, via the website www.veganfoodtourutrecht.nl or via an external booking platform. The participant can book up to 24 hours before the start of the tour.

When booking the Vegan Food Tour Utrecht, the participant provides the following information: number of participants, first name, last name, e-mail address, telephone number and any allergies of all participants for which they book.

After providing the information, the participant is directed to the payment page. The participant pays for the Vegan Food Tour Utrecht in advance by using the payment programme we offer on the website. The payment method may differ, depending on the way the booking is made. Any extra costs incurred by other payment methods will be borne by the participant.

A booking is final after payment has been made. The participant will receive a confirmation e-mail on the e-mail address provided, containing the number of participants for which a booking was made, the exact starting time and location and the date on which the participant booked the tour. The participant is responsible for checking the information in the confirmation e-mail. If the information in the confirmation email is not correct, the participant has to report this as soon as possible and within 24 hours after booking via info@veganfoodtourutrecht.nl.

A booking for the Vegan Food Tour Utrecht may not be resold or used for commercial purposes in any way without the prior written permission of Vegan Food Tour Utrecht. If this turns out to be the case, we reserve the right to refuse participation in the tour.

We reserve the right to adjust the price of the tour at any time. The price paid by the participant on the day of the booking will remain unchanged, regardless of any price increases.

If the participant has not paid the booking by the start of the tour, we have the right not to allow the participant to join the Vegan Food Tour Utrecht.

The participant can cancel a booking free of charge up to 14 days before the start of the tour. If the participant cancels the tour between 14 days and 48 hours before the start of the tour, we will charge 20% administration costs. There will be no refund if the participant cancels later than 48 hours before the start of the tour or does not show up.

The participant can reschedule the tour up to 7 days before the start of the tour. If the participant wishes to reschedule the tour less than 7 days before the start of the tour, we will charge a 20% administration fee.

The minimum number of participants for the tour to take place is 2 adults (or 2 paying participants). If there are less than 2 participants 24 hours before the tour starts, we reserve the right to cancel the tour and refund the full amount. We cannot be held responsible for any expenses incurred, such as hotel stays and travel costs.

We reserve the right to refuse a reservation without giving any reason.

Force majeure and weather conditions

In principle, the Vegan Food Tour Utrecht will always take place, regardless of the weather conditions. We expect participants to wear suitable clothing and shoes. In the event of extreme weather conditions, which make it impossible to carry out the tour and/or endanger the safety of the participants, we reserve the right to cancel the tour. If we decide to cancel the tour due to extreme weather conditions, the participant will receive a full refund of the deposit. The participant will not be entitled to a refund of the deposit if they cancel the tour themselves due to bad weather or rain.

In the event of force majeure on the part of the organizers of the Vegan Food Tour Utrecht, we reserve the right to cancel the tour and refund the full deposit, or reschedule to another time. Force majeure is when participating restaurants do not (cannot) meet their commitments, strikes, lockdowns and other situations beyond our control. In the event of cancellation due to force majeure, we cannot be held responsible for any costs and damages incurred, such as hotel bookings or travel costs.

The Vegan Food Tour Utrecht

Before the tour starts, participants will receive a confirmation e-mail with the exact starting time and location and the date the participant has booked the tour.

We reserve the right to change the content and route of the Vegan Food Tour Utrecht before or during the tour. The number of locations we visit and the food on offer can change based on the opening hours of the participating catering establishments.

The tour takes about 3 hours. The duration may vary depending on the size of the group, the waiting time at the various locations and the walking pace of the participants.

All food and a drink are included in the price. The food is ordered in advance and cannot be changed during the tour. The participants are free to buy additional food and drinks during the tour.

Safety and liability

Participation in the Vegan Food Tour Utrecht is entirely at your own risk.

The booking form on www.veganfoodtourutrecht.nl contains a section where the participant can indicate if there are any allergies and/or specific dietary needs. Participants are themselves responsible for stating their own allergies and/or dietary requirements and those of the person they are booking for. We will try to take allergies and/or dietary requirements into account as much as possible during the tour and will provide alternatives where possible. We cannot guarantee that all venues will offer an appropriate alternative in the event of allergies and/or dietary requirements. Some venues may charge an additional fee for the alternative dish in the event of an allergy and/or dietary requirement. The additional charge will be borne by the participant.

We cannot be held responsible for any allergic reactions to food or drinks. The locations we visit during the tour are registered restaurants and serve high quality food.

We cannot be held liable for any direct or indirect damage resulting from participation in the Vegan Food Tour Utrecht. We cannot be held responsible for any physical or material damage to the participant, for example by falling, bumping, slipping and by participation in traffic, before, during or after the Vegan Food Tour Utrecht. We cannot be held responsible for loss, theft and/or damage to property of the participant before, during or after the Vegan Food Tour Utrecht.

The guide reserves the right to refuse participants or send them away if they behave irresponsibly or otherwise improperly (drunk, aggressive, rude, etc.). Refusing or removing a participant because of irresponsible or inappropriate behaviour is no reason for a refund.

Start of the Vegan Food Tour Utrecht

At the start of the tour, the participant may be asked to show the confirmation e-mail as proof of entitlement to participate. The participant does not have to print out the confirmation e-mail. Digital proof is sufficient. Participation is only permitted on the day indicated in the confirmation e-mail.

The participant is responsible for arriving on time at the start locations, as mentioned in the confirmation email. We are not obliged to postpone the start time or to change the route if the participant cannot be at the start location on time.

If the participant is prevented from arriving at the starting location on time, is lost or for any other reason is not able to arrive at the starting location on time, he/she has to contact us via the telephone number in the confirmation email or via info@veganfoodtourutrecht.nl.

In case the participant arrives late and does not contact the guide or the organisation of the Vegan Food Tour Utrecht about this, the situation will be considered as a ‘no show’ and the reservation will be cancelled. A ‘no show’ is no reason for a refund.

Privacy

When booking the Vegan Food Tour Utrecht, the participant is obliged to provide the correct details. Changes to and/or inaccuracies in these details must be reported to us in good time.

We process the personal details of participants when they make a booking. Personal details are used for administrative purposes.

The participant agrees that he/she can be photographed or filmed during a Vegan Food Tour Utrecht and that this material can be used for promotion and social media. If the participant objects to this, he/she can mention it by sending an email to info@veganfoodtourutrecht.nl.

The participant(s)

The participant acknowledges that he/she will be taking part in a walking tour of approximately 5 kilometres and is able to walk this distance. If the participant uses other transportation during the tour (bus, taxi, (rental) bike), any costs are for the participant himself.

The walking tour of the Vegan Food Tour Utrecht takes place in public places. The participant must be aware of the local rules and regulations that apply to pedestrians.

During the Vegan Food Tour Utrecht, the participant is not allowed to:

consume alcohol, unless this is part of the tour or during a visit to one of the locations
Use or carry drugs
Show aggressive behaviour, harassment, threats or any other inappropriate behaviour towards the guide, other participants, entrepreneurs or other persons involved in any way with the Vegan Food Tour Utrecht.`
